1. Who this policy covers

This policy applies to MATA Thai Group Pty Ltd (ABN 94 701 370 256, ACN 701 370 256) of Victoria (VIC) 3199, Australia — referred to below as "we", "us" or "the company" — and to the website at matathaigrouptec.site.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs) contained in that Act. Where we are not otherwise bound by the Act, we apply these standards as a matter of practice.

2. Information we collect

We collect only the personal information reasonably necessary for our catering, kitchen operations, supply, training and consulting activities. That typically includes:

• Your name, and the name of the business or venue you represent
• Contact details — email address, and a postal or delivery address where goods or services are supplied
• Enquiry and booking details — event dates, venue, head counts, menu preferences and budget
• Dietary requirements, allergies and intolerances that you or your guests give us so that food can be prepared safely
• Records of correspondence between us, and of quotes, invoices and payments

Information about allergies and health-related dietary needs is sensitive information under the Privacy Act. We collect it only with your consent, only where it is necessary to prepare food safely, and we do not use it for any other purpose.

We do not collect government identifiers, and we do not store full payment card numbers.

3. How we collect it

We collect personal information directly from you wherever it is reasonable and practicable to do so — when you email us, complete the enquiry form on this website, discuss a booking, or place a supply order.

The enquiry form on our contact page does not transmit anything to a server we control. It opens a message in your own email application, addressed to us, which you choose to send.

Where an event organiser, venue or agent provides us with information about other people (for example a guest's allergy), we rely on that party having authority to share it, and we handle it under this policy.

4. Why we use it

We use personal information to:

• Respond to enquiries and prepare quotes and menus
• Plan, cook and deliver catering, and to run kitchen, supply, training and consulting engagements
• Prepare food that is safe for the people eating it
• Issue invoices, take payment and keep the financial records Australian law requires us to keep
• Communicate about a current or upcoming engagement

We do not sell personal information. We do not send marketing messages to people who have not asked for them, and any commercial electronic message we do send will identify us and offer a simple way to unsubscribe.

5. Disclosure

We disclose personal information only where it is necessary for the purpose it was collected, and only to:

• Staff and contract kitchen or service personnel engaged on your booking
• Suppliers and delivery providers, limited to what they need to fulfil an order
• Venues where your event is being held, where they require guest or catering details
• Our accountants, bookkeepers and professional advisers
• A person or body where disclosure is required or authorised by Australian law, or is necessary to lessen a serious threat to life, health or safety

We do not disclose personal information to overseas recipients as part of our normal operations. If that position changes, this policy will be updated before any such disclosure is made.

6. Cookies and this website

This website is a set of static pages. It sets no cookies, runs no advertising or analytics scripts, and loads no third-party fonts, images or trackers. Nothing you type into a page on this site is transmitted to us unless you send it from your own email application.

Our hosting provider may record standard technical information such as IP address, request time and browser type in server logs for security and reliability purposes. We do not use those logs to build a profile of you.

7. Storage, security and retention

Personal information is held in our email system and business records, protected by access controls, device security and passwords. Access is limited to the people who need it to do their job.

We keep information only as long as it is needed for the purpose it was collected, or as long as we are required to keep it by law — financial and tax records, for example, are generally retained for seven years. When information is no longer needed and we are not required to retain it, we destroy it or de-identify it.

No method of transmission or storage is completely secure. If a data breach occurs that is likely to result in serious harm, we will respond in accordance with the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act 1988 (Cth), including notifying affected individuals and the Office of the Australian Information Commissioner where required.

8. Access and correction

Under APP 12 and APP 13 you may ask us for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading.

Write to [email protected]. We will ask you to verify your identity, and we aim to respond within 30 days. Access is provided free of charge, although we may charge a reasonable cost for retrieving records that require significant work. If we refuse access or correction, we will tell you why in writing and explain how to complain.

You may also deal with us anonymously or under a pseudonym for general enquiries, though we cannot deliver a booking or an order without contact details.

9. Complaints

If you believe we have breached the Australian Privacy Principles, please raise it with us first. Email [email protected] with the details of your concern. We will acknowledge your complaint, investigate it, and give you a written response, usually within 30 days.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC), which oversees the Privacy Act 1988 (Cth). The OAIC can be contacted through its published channels and will generally expect you to have raised the matter with us first.

10. Changes to this policy and how to contact us

We may update this policy as our operations or the law change. The current version is always the one published at matathaigrouptec.site/privacy.html, and the date at the top of this page shows when it last changed.
